

Executive Assistant to the Chief Financial Officer

Purpose of Position:
The Executive Assistant will provide high-level executive, operational, and administrative support to the Chief Financial Officer. This role requires exceptional organisation, discretion, and the ability to manage a wide range of tasks in a fast-paced environment. The EA will act as the primary coordination point for the CFO, ensuring efficient time management, communication flow, and project execution.
Duties & Responsibilities:
- Manage the CFO’s calendar, appointments, and meeting priorities, acting as an effective gatekeeper.
- Handle, process, and safeguard confidential and commercially sensitive information.
- Draft, edit, format, and summarise reports, presentations, emails, and both technical and non-technical documents.
- Prepare board and meeting documents, including agendas, minutes, and protocols.
- Support the CFO with daily operational tasks and ensure all necessary information and documents are prepared.
- Analyse information and prepare concise inputs to support decision-making.
- Manage assigned projects within agreed scope, timelines, and budget, ensuring timely progress and reporting.
- Develop and maintain structured document management systems and historical records.
- Liaise between the CFO and employees to optimise communication and time allocation.
- Coordinate travel arrangements, appointments, and complex schedules.
- Streamline and maintain efficient administrative workflows, taking ownership of routine tasks for the CFO and his direct reports.
- Prepare presentations for the CFO and his direct reports.
Requirements
Qualifications & Skills
- Diploma or Degree in Business Administration; a business degree including accounting knowledge is preferred.
- Minimum of 3 years’ experience in an executive assistant or similar role in the private sector.
- Strong command of Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Excellent English and Maltese communication skills both written and verbal suitable for executive-level interaction.
