HR & Administration Assistant

Our client, a premier healthcare provider in Malta, renowned for representing top international pharmaceutical, cosmetic, and dermo-cosmetic brands, is currently seeking a HR & Administration Assistant to enhance its dynamic team.

This role combines duties in human resources and general administration requiring a keen eye for detail, excellent organizational skills, and a commitment to maintain confidentiality and compliance.

Responsibilities:

HR Duties

  • Post job vacancies on online portals, filter applications, and coordinate the interview process
  • Manage the onboarding process and secure working permits for TCNs as needed
  • Source and negotiate costs for new and existing employee tools, including IT systems, mobile phones, and company cars
  • Prepare, update, and manage HR documents such as job descriptions, employment contracts, job offers, addendums, and KPI and target-based bonus sheets
  • Oversee the offboarding process for existing employees
  • Maintain and update HR matrices monthly

General Administration Duties

  • Manage incoming calls, emails, and other forms of communication
  • Welcome and assist visitors
  • Handle reconciliation of invoices and credit notes
  • Maintain and organize office common areas
  • Manage mail processing and distribution
  • Undertake general office duties and errands
  • Coordinate travel and accommodation for business needs
  • Assist in event coordination and update monthly company statistics

Requirements:

  • Degree in HR, Business Administration, or related field
  • Proven experience in HR and administrative roles, preferably in pharmaceutical or related industries
  • Strong understanding of GDPR and other compliance regulations
  • Excellent verbal and written communication skills
  • Proficient in MS Office and HR information systems
  • Organizational and time management skills
  • Exceptional interpersonal skills and the ability to work effectively within a team
