IT Clerk
Malta International Airport plc is looking for a dynamic individual who is passionate about working with people within an Airport environment, is willing to continuously learn, develop, and be part of a high-performance culture. The following vacancy has arisen within the Innovation & Technology Department:
Purpose of Position:
The purpose of this role is to assist and support the Technology Department in organising and managing the department's daily administrative tasks.
Main Responsibilities include:
- Manage routine administrative duties, including updating training records, maintaining telecom asset inventories, overseeing contracts and service agreements, applying for airport passes, updating work rosters, maintaining syndicate rooms, and supporting staff onboarding and offboarding.
- Manage the Company’s mobile telephony scheme, follow up on photocopier maintenance, and handle the purchasing / upgrading office equipment.
- Prepare, process, and track Purchase Requests (PRs) and Purchase Orders (POs) for the MIA-ICT Department.
- Assist in invoice verification, payment processing, and reconciliation of financial records.
- Maintain accurate financial documentation and provide support for financial reporting and audits as required.
- Facilitate suppliers and vendors onboarding, by ensuring completion of all required documentation, including NDAs, Data Processing Agreements (DPAs), and compliance forms.
- Take minutes for IT project and operational meetings, manage department archives, prepare and track Purchase Requests and financial documentation, and coordinate the full lifecycle of contracts.
Requirements
- Have strong clerical and administrative skills.
- Possess effective communication and interpersonal abilities.
- Be proficient in common office software applications.
- Understand basic IT terminology and operational processes.
- Have basic knowledge of contracts, procurement, and invoicing procedures.
