Vista’s Operations team provides the operating and planning system as well as services related to flight preparation. These include flight and route planning, and trip support services ranging from all ground arrangements to permits and fuel for an unrivaled global fleet.

VistaJet is looking for an Operations Support Specialist to join the team in Malta, on a full-time basis. The Operations Support Specialist will assist in providing support services by providing and maintaining:

  • Aircraft administrative support services
  • Systems and tools administration support services
  • Operations administrative support services
  • Crew administrative support services
Main tasks and responsibilities
  • Maintain, renew, and distribute aircraft documents.
  • Provide logistics support for onboard items; order and arrange stock.
  • Ensure timely distribution of cyclical database updates.
  • Organize and distribute information within systems.
  • Maintain validity of foreign air operator certificates and permits.
  • Review and support licenses and subscriptions.
  • Provide support for aircraft phase-ins/outs, including system and subscription updates.
  • Support operating groups with timely data and reports.
  • Plan and arrange initial and recurrent training for flight crew.
  • Maintain crew lifecycle within systems.
  • Track and monitor crew documentation expiry dates.
  • Assist with pre-notifications, licence renewals, and assessments of competence.
  • Liaise with internal and external training providers to ensure training quality.
  • Monitor all crew documentation for requirements.
  • Process crew member training records and qualifications.
  • Provide support for other departments or projects as needed.
Educational and skill requirements
  • Proven results in an administrative role or similar. 
  • Strong attention to detail while performing duties with a high degree of accuracy. 
  • Excellent verbal and written communication skills. 
  • Multi-tasking effectively, prioritizing appropriately, and timely completion of assigned tasks. 
  • Ability to remain organized and function well in a high-paced environment.
  • Excellent standard of written and spoken English.
