About the role
Our People Resource Officer plays a vital role in supporting the organisation's mission by coordinating the enrolment, onboarding, scheduling, and ongoing engagement of volunteers, interns, and relievers. The role ensures that people resources are effectively matched to departmental needs, while fostering a positive experience for all involved.
What you'll be doing
- Coordinate the enrolment, interviewing and onboarding processes for volunteers, interns, and relievers in collaboration with relevant teams.
- Maintain up-to-date records of all active individuals and provide monthly reports as required.
- Match available people resources to departmental needs based on skills, availability, and interests.
- Liaise with departments to understand and forecast requirements.
- Create and manage schedules for volunteers, interns, and relievers across various teams and for events.
- Ensure clear communication regarding shifts, expectations, and changes.
- Monitor attendance, participation, and engagement levels.
- Serve as a point of contact for volunteers, interns, and relievers, offering guidance and support as needed.
- Coordinate recognition initiatives to acknowledge and value contributions.
- Deliver feedback sessions and get-together initiatives with volunteers, interns, and relievers. Gather and act on feedback to enhance the overall experience.
- Ensure accurate documentation, including contracts/agreements, and other forms, including coordination with external entities.
- Maintain accurate records and databases of volunteers, interns and relievers to track progress against KPIs.
- Correspond with relevant sending organisations and third-party project representatives as required.
- Coordinate staff accommodation logistics, including the assignment and upkeep of housing, conducting regular inspections, and managing all correspondence with landlords and tenants to ensure smooth occupancy, timely maintenance, and compliance with organizational standards.
- Prepare periodic reports and metrics for internal review, audits, and decision-making.
- Attend external annual community and volunteering gatherings as required.

Qualifications & Experience
The ideal candidate should be in possession of the following:
- A minimum MQF Level 4 qualification in Human Resources, Business Administration, or in a related field.
- Previous experience in HR coordination, volunteer management, or a relevant role is a must.
- Strong interpersonal, organizational and communication skills.
- Excellent time management and problem-solving abilities.
- Willingness to work flexible hours, including occasional evenings or weekends, based on organizational needs.
Prior to being recruited and throughout the duration of employment, the selected candidates need to satisfy the requirements of the Protection of Minors Act (POMA) together with those of immunisation.
