Personal Assistant to CEO
This is a true PA role in which the selected applicant will provide full administrative support the the CEO whilst forming part of the Management team of a large and well know Group of companies
Responsibilities
Manage and organise appointments of CEO including organising remote meetings on Zoom, Teams, et
Prepare documents for upcoming appointments
Authorising online leave for HODs and adding them to CEO online calendar – liaising with HR as required for leave balances
Book flights, accommodation, transfers for CEO and delegations travelling overseas including country entry requirements, boarding passes, Air miles, and other necessary arrangements as well as ordering foreign exchange as necessary.
Organising visits/itineraries of foreign delegations visiting Malta including flights, transfers, accommodation, meetings, restaurant bookings
Handling Contracts including amendments of drafts
Checking for Government tenders and alerting management
accordingly
Keeping records of CEO’s company credit card transactions (local and foreign payments) and at end of month forwarding excel file with respective receipts and documentation to Finance
Keeping copies of minutes of various committees and updating
committee files accordingly
Keeping articles & memorandums of various companies, Board Resolutions and documents and providing information/documents including Shareholders/directors IDs as required and where required obtaining documents from Malta Business Registry
Ordering flowers for funerals, births, get well soon, etc. as required. Organising Christmas Gifts as per Management’s request including deliveries
Any other adhoc duties as required by management
Education and requirements
A minimum of 5 years experience in a senior administrative role
Fluent Maltese and English
Excellent communications skills
Extremely organised by nature
Be able to Multitask
