Role Overview
Our Client is seeking a proactive and detail-oriented Projects Administrator to support its contracting department. This role acts as a crucial link between the Projects Team, clients, and suppliers, ensuring smooth planning and delivery of projects from inception to completion. The ideal candidate thrives in a fast-paced environment and is motivated to contribute to a dynamic and accomplished team.

Key Responsibilities

  • Project Coordination: Work alongside the Projects Team to manage projects from shell form through to completion, ensuring deadlines and quality standards are met.
  • Documentation & Submissions: Analyse project requirements and prepare detailed quotes, tenders, and corresponding BOQs.
  • Client & Supplier Liaison: Serve as a primary point of contact for clients, designers, project managers, and suppliers, maintaining clear and professional communication.
  • Material Management: Order products and materials as per confirmed quotes, planning delivery schedules in coordination with the project team to meet project timelines.
  • Billing & Payments: Prepare billings and assist with payment applications while keeping all documentation organised and up to date.

Qualifications, Skills, and Attributes

  • Education: Relevant qualifications in Quantity Surveying or related fields would be considered an asset.
  • Experience: Prior experience within the retail finishes sector or a similar environment is highly desirable.
  • Language Skills: Excellent command of English is required; the ability to communicate in Maltese is an advantage.
  • Communication Skills: Strong verbal and written communication skills for effective interaction with clients, suppliers, and internal teams.
  • Interpersonal Skills: Ability to collaborate with a diverse team and maintain professional relationships.
  • Technical Skills: Proficiency in Microsoft Excel, Outlook, and ACAD software.
  • Organisation: Exceptional organisational skills with the ability to prioritise tasks and manage multiple projects simultaneously.
  • Self-Motivated: Demonstrated initiative and the drive to work independently in a fast-paced environment.
  • Problem-Solving: Ability to identify issues proactively and implement effective solutions.
