Duties and Responsibilities:
- Record non-clinical patient information for each admission in the designated system.
- Document and secure patient valuables, ensuring verification by a witness.
- Manage incoming calls, relay messages promptly, and ensure that the clinical team is informed when they are unavailable (e.g., during ward rounds, patient care, visits with relatives, emergencies, or end-of-life situations).
- Support the IPU Coordinator by preparing required reports, including compiling statistical data from the database for monthly and other scheduled reporting.
- Verify database reports, ensuring accuracy and up-to-date entries, and communicate any discrepancies or concerns to the IPU Coordinator or senior staff.
- Arrange follow-up appointments for patients – within Hospice clinics or external clinics – prior to discharge and notify relevant clinics of cancellations when patients are unable to attend.
- Notify the Community Team by email when a patient is scheduled for discharge, ensuring relevant clinical information is available in the database.
- Raise maintenance requests, keeping the IPU Coordinator informed, and follow up to ensure issues are addressed.
- Carry out necessary errands, including collecting supplies from stores.
- Prepare and provide all discharge documentation, ensuring letters and supporting paperwork are printed and handed to patients or relatives before leaving
- Manage and maintain the IPU menu, ensuring it is kept up to date.
- Manage the logistics of the outpatient clinics when necessary

Qualifications & Experience:
- IT proficiency – comfortable using databases, Microsoft Office applications, and email systems.
- Good command of written and spoken English and Maltese.
- Previous experience in an administrative role, preferably in a healthcare.
