Procurement & Logistics Coordinator

We are creating a new post to manage our supply chain from start to finish. You will work closely with our Operations and Accounts teams so that the right materials reach the right site on time, to specification and within budget. You will also manage our Main Stores and internal transport.

You will report directly to the General Manager, and the Storekeeper and company Drivers will report to you.

Main tasks and responsibilities

Sourcing & Supplier Management

•      Process the material requirements that the Operations team submits for MEP and finishes packages.

•      Obtain formal written quotations and compare them, giving priority to approved suppliers. Check each offer's specification, lead time and commercial terms.

•      Maintain the approved supplier list, pre-qualify new suppliers and review how suppliers perform.

•      Negotiate prices and terms for materials we buy often.

ERP & Purchase Orders

•      Confirm specifications, quantities, lead times and prices with the Operations team before ordering.

•      Issue accurate purchase orders through the ERP system against the correct project and cost codes.

•      Keep supplier records, quotations, rates and material specifications up to date in the ERP system.

Planning & Expediting

•      Plan orders around project programmes and milestones and flag long-lead items early.

•      Keep a procurement and delivery tracker, follow up on outstanding orders, and tell the project team about delays in good time.

•      Send bulk and long-lead items directly to site, and stock items to the Main Stores.

Receiving & Accounts Liaison

•      Check deliveries against purchase orders and approved specifications. Carry out three-way matching before passing invoices to Accounts for payment.

•      Resolve shortages, incorrect deliveries and damaged materials with suppliers.

•      Collect material compliance documents (e.g. Declarations of Performance, certificates and warranties) for project and handover files.

Stores & Inventory

•      Manage the Main Stores, including layout, security, safe storage and the care of delicate finishes and equipment.

•      Control stock levels and carry out regular stock-takes to keep waste, losses and over-ordering to a minimum.

•      Manage returns, surplus material from sites and the reuse of materials across projects.

Transport & Logistics

•      Supervise the Storekeeper and Drivers and plan vehicle schedules and site deliveries.

Educational and skill requirements

•      3 to 5 years' experience in procurement and logistics within construction, MEP or interior fit-out.

•      Hands-on experience with an ERP or purchasing system, and good Excel skills.

•      Strong organisation, negotiation and communication skills, and the ability to handle several projects at once.

•      Good command of English and Maltese.

•      Full driving licence.

•      An asset: familiarity with MEP and finishes materials.

Job benefits

•      A dynamic working environment.

•      The chance to grow with a fast-growing company in a new role you can help shape.
