Procurement Officer
Job Description
We are looking for a Procurement Officer to join our client's team. The selected candidate will be responsible for supplier negotiation, order management, logistics coordination, supplier performance monitoring, claim management and supplier relationship management, customer negotiation, order processing, payment control etc.
ABOUT OUR CLIENT
Our client is a procurement company and is located in Sliema, Malta.
DUTIES AND RESPONSIBILITIES
Supplier negotiation:
- Lead supplier negotiations for procurement machinery, spare parts, chemicals and materials.
- Ensure optimal prices, terms, and service guarantees.
Order management:
- Generate detailed purchase orders with clear terms, conditions and schedules.
- Ensure compliance with internal policies.
Logistics coordination:
- Oversee transportation and delivery logistics, including international shipments.
- Optimize shipping methods and ensure import/export compliance.
Supplier performance monitoring:
- Track supplier performance to ensure timely delivery and contract compliance.
- Address any issues related to delayed or missing goods.
Claim management:
- Handle claims for defective, damaged, or missing goods, ensuring timely resolution with suppliers.
Supplier relationship management:
- Build and maintain strong relationships with suppliers to ensure long-term collaboration.
Customer negotiation and agreement management:
- Negotiate and finalise sales agreements, defining terms such as prices, delivery schedules and payment terms.
- Technical specification preparation.
Order processing and communication:
- Oversee the end-to-end sales process, ensuring accurate and timely order processing.
- Maintain regular communication with customers on order status and provide delivery updates.
Payment control:
- Monitor customer payments to ensure timely receipt and resolve any payment related discrepancies.
Project and delivery tracking:
- Track project milestones and ensure on-time delivery.
- Address any manufacturing or shipment issues proactively.
Customs documentation & compliance:
- Prepare and ensure accuracy of customs documentation for international shipments.
Claim management:
- Manage customer claims, ensuring timely resolution.
Customer relationship:
- Build and maintain strong customer relationships for long-term growth.
Perform additional tasks as required, directly influencing procurement and sales activities.
EXPERIENCE, KNOWLEDGE AND SKILLS
- A minimum of 2 years' experience in procurement, commodity trading (machinery, spare parts, chemicals), and logistics.
- Experience in the industrial or manufacturing sectors.
- Knowledge of import/export and customs procedures.
- Understanding of the technical specifications for raw materials, components, equipment.
- Advanced user of Microsoft Office.
- Must demonstrate excellent verbal and written communication skills in both English and Maltese.
EDUCATION
Bachelor's degree or higher in a relevant field.
WORKING TIME
Monday to Friday with flexibility in starting time, from 06:30 till 09:00, 40 hours per week with 1 hour break daily.
