Main tasks and responsibilities

Accountability

The post-holder shall be accountable to the Manager Corporate Services of the Foundation for Educational services or his/her delegate.

Roles and Responsibilities

The Programme Coordinator is a key member of the Business Support Unit. S/he will be part of the corporate services team. The Programme Coordinator will have the following roles and responsibilities, however other related duties may be requested to be carried out by the CEO, the Head Business Support, the Manager Corporate Services or his/her delegate in line with the entity’s exigencies.

Duties include the following:

  • Act as the first line of support on IT related issues at FES Head Office and all FES centres, including Childcare Centres, Klabb 3-16 and Skolsajf centres or liaise with MITA/MEDE if a problem persists;
  • Raising requests for the provision or termination of ICT related services.
  • Raising and approving RFS’ as the need arises
  • In charge of laptop formatting, as the need arises.
  • Monitor and maintain all FES user accounts across both MEDE and MITA directories.
  • Responsible for the proper upkeep of the FES shared folders.
  • Maintaining the MITA’s Asset Management System and any other online tool as requested by MITA.
  • Requesting quotations, assisting in the analysis, purchase, implementation and evaluation of IT hardware and software.
  • Liaise with the Procurement Section in relation to the leasing agreements of photocopiers and provide assistance in relation to troubleshooting for the same copiers.
  • Assisting users in their ICT setup requirements, including migration of data to other systems and physical movement of ICT equipment.
  • Overseeing the maintenance of the network infrastructure and ICT hardware.
  • Assisting the Corporate Services Manager in setting up a proper ICT inventory for both FES head office and its service locations.
  • Ensuring that ICT control procedures and practices are in place and that Government ICT Policies are being adhered to.
  • Writing/generating technical reports and/or user guides related to the ICT field and other reports as may be required by management.
  • Administering security rights and liaise with superiors in order to improve systems security.
  • Liaising with third parties to assist in the provision of ICT services and/or implementation of ICT projects.
  • Provide assistance in relation to telephony-related issues across all centres and maintaining the PABX up-to-date and free from any fraudulent activity ensuring that it is not volatile for any hacking.
  • Maintain satisfactory standards of safety and security in relation to computer rooms and equipment.
  • Providing support in the updating of websites and portals.
  • Liaising with MITA, MEDE CIOs and other IT technical personnel (including private contractors) on all matters relating to use of IT and telephone by FES.
  • Due to rapid changes in technology, the officer is required to keep abreast of advancements in ICT systems.
  • Providing support for the organisational and technical aspects for the running of meetings, workshops and seminars.
  • Performing other ICT related works or projects as assigned by superiors.
Educational and skill requirements

Eligibility Criteria

By the closing time and date of this call for applications, applicants must meet the following eligibility criteria:

  • A Curriculum Vitae (recently updated);
  • An MQF Level 6 qualification (at least 180 ECTS) in Communications, Computer Science, or an ICT-related field, together with two (2) years of relevant work experience directly related to IT or computing;

OR

Be in the final year of study leading to an MQF Level 6 qualification (at least 180 ECTS) in Communications, Computer Science, or an ICT-related field (the selected applicant must successfully complete the qualification by the end of the probationary period), together with and a minimum of five (5) years of relevant work experience directly related to IT or computing;

  • Employment history issued by Jobsplus as proof of experience - obtained within the past six months.
  • A valid driving licence and access to their own vehicle;
  • The ability to communicate effectively, both verbally and in writing, in Maltese and English;
  • Proficiency in IT. Preference will be given to applicants who possess an ECDL Certificate;
  • A recent Police Conduct Certificate issued within the previous six (6) months;
