Job Specification
Duties and Responsibilities
§ Coordinate and assist with the inputting of all non-EU vehicles into the Customs system for duty payment.
§ Process online customs entries and ensure accuracy of submitted information.
§ Coordinate customs payments and reconcile vehicles received against Customs registry records.
§ Liaise with the company courier to facilitate duty registrations, customs payments, vehicle registration at customs, and registration with Transport Malta.
§ Coordinate and assist with the administration of Transport Malta-related documentation.
§ Follow up on vehicle arrivals with shipping agents to ensure prompt vehicle release and avoid additional port rental charges.
§ Manage insurance claims for vehicles received with damages and ensure timely resolution.
§ Coordinate with runners and PDI teams for visits to VGT or Freeport to release vehicles from bond, while assisting when required.
§ Organise export documentation and related processing as necessary.
§ Maintain and update franchise data for current and new vehicle models, including variants and accessories.
§ Ensure accuracy and completeness of vehicle-related data within company systems.
§ Prepare invoices required for accounting and vehicle registration purposes.
§ Ensure timely and accurate preparation and maintenance of vehicle-related documentation.
Skills and Abilities
- Strong knowledge of supply chain, logistics, shipping, and vehicle importation processes.
- Good understanding of Customs procedures and Transport Malta registration requirements.
- Strong organisational and planning skills with the ability to manage multiple priorities and meet deadlines.
- High level of attention to detail and accuracy in data entry, documentation, and record keeping.
- Excellent communication and interpersonal skills with the ability to liaise effectively with suppliers, shipping agents, couriers, and internal departments.
- Problem-solving skills with the ability to resolve operational issues and follow up proactively.
- Strong analytical and coordination skills to monitor shipments, orders, and vehicle data.
- Ability to work independently and collaboratively within a team environment.
- Proficiency in Microsoft Office applications, particularly Excel, and experience using ERP or database systems.
- Ability to handle confidential information professionally and maintain data integrity.
- Customer-focused mindset with the ability to provide efficient support to internal and external stakeholders.
- Flexibility and adaptability to changing operational requirements and priorities.
