Accounts Payable Executive

Reporting to the Financial Controller, the Accounts Payable Executive is mainly responsible for managing the Accounts Payable function, ensuring suppliers’ invoices are timely and accurately processed, whilst supporting the finance department by performing other accounting duties and preparing financial reports as required.

Main tasks and responsibilities
  • Ensuring that supplier invoices are in-line with the respective suppliers’ contracts and/or purchase orders.
  • Obtaining appropriate payment authorization before issuing payments to vendors.
  • Reviewing and approving the posting of invoices ensuring accurate general-ledger data entry and classification.
  • Preparing periodic payment batches and ensuring that all supplier payments are timely and accurately processed.
  • Reviewing suppliers’ contracts financial terms and conditions before signing to identify and communicate any financial implications thereof.
  • Issuing sales invoices in-line with the instructions received from the Financial Operations team and following up on the receipt of funds thereof.
  • Reconciling and maintaining the Aged Payables and Aged Receivables reports as part of the Bank’s internal controls.
  • Updating and reconciling the Fixed and Intangible Assets Registers with the respective General Ledgers.
  • Assisting in the preparation of monthly management accounts by preparing accruals and prepayments, bank and other reconciliations.
  • Assisting external financial audit by providing the required supporting documentation, including invoices and contracts’ register.
  • Preparing financial reports and completing other ad hoc tasks delegated by the manager.
  • Suggesting changes or improvements to increase the efficiency of the accounts payable internal processes.
  • Maintaining good working relationships with other departments within the organization.
Educational and skill requirements
  • In the process of attaining an ACCA qualification or equivalent.

Experience:

  • A minimum of 2 years’ experience in a finance role (experience in a regulated institution would be considered an asset).

Knowledge and skills:

  • A strong knowledge of accounting principles and accounts payable processes.
  • Understanding of VAT principles.
  • Experience with general ledger functions and month-end closure processes.
  • Proficiency in the of use financial software and AP modules.
  • Proficiency in Microsoft Excel.
