HR Administrator

We are looking for a full-time or reduced-hours HR Administrator to join our HR team at our office in Ta’ Xbiex. The selected candidate will be responsible for the day-to-day administrative duties of the HR Department.

Main tasks and responsibilities
  • Responsible for the administration of the recruitment process.
  • Ensuring all recruitment packs are filled and relative documentation submitted.
  • Liaise with Government agencies such as Jobsplus, Identita and Inland Revenue, for      the submission of forms and other schemes. 
  • Chasing employees and collecting documentation 
  • Assist in the documentation of work permits.
  • Assist in the documentation of training including IIS. 
  • Setting interviews and sending calendar invites.
  • Assisting with the Time and Attendance module. 
  • Create and maintain employee personal files. 
  • Assisting with employee and HOD regarding queries, issues, policies and procedures.
  • Coordinates and assists with the planning of staff parties and activities.
  • Works closely with all the departments to ensure a positive work environment.
  • Maintains department office area in an organized and professional manner and replenish office supplies and equipment as needed.
  • Monitor day-to-day sick and liaise with both company doctors and head of department. 
  • Ensure that all sick certificates are inputted and filed accordingly.
  • Implements and maintains the departmental filing system.
  • Receive and document reports of workplace injuries, ensuring all necessary details are recorded. 
  • Responsible for handling and processing invoices and raising Purchase Orders as required.
  • Submitting data for Mizzi Organisation Discount Card issuance and renewals.
  • Supports the HR team as required and other duties as assigned from time to time.
Educational and skill requirements
  • Previous experience in an HR or administrative role will be considered an asset.
  • Good knowledge of Microsoft Office, particularly Word, Excel, and Outlook.
  • Strong organisational and administrative skills with good attention to detail.
  • Good written and verbal communication skills in English and Maltese.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to prioritise tasks and work efficiently within deadlines.
  • Good interpersonal skills and the ability to communicate professionally with employees and management.
  • Ability to work both independently and as part of a team.
  • Familiarity with HR documentation, and work permit processes will be considered an asset.
