Sales and Reservations Administrator

Alpha School of English is seeking for a highly organized and customer-focused Sales and Reservations Administrator to join our team at an English language school in Malta.

The ideal candidate will manage student bookings, handle inquiries, coordinate reservations, and provide exceptional customer service.

This full-time role (40 hours per week) from 8:15 to 17:15 requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Main tasks and responsibilities


Sales and Customer Support

  • Respond to inquiries from prospective students, agents, and partners via email, phone, and online platforms.
  • Provide detailed information about courses, accommodation options, and additional services.
  • Follow up on leads and convert inquiries into confirmed bookings.
  • Build and maintain positive relationships with agents and partners.

Reservations Management

  • Process bookings for courses, accommodation, and airport transfers.
  • Maintain accurate records and update the booking system.
  • Coordinate with internal departments (academic, accommodation, and transport) for smooth onboarding.
  • Confirm and document reservations promptly.

Administrative Duties

  • Prepare and issue invoices, confirmations, and other booking-related documents.
  • Handle changes, cancellations, and special requests.
  • Assist with reporting and tracking reservations data.
  • Support the sales team with administrative tasks and marketing materials.

Quality Assurance and Customer Experience

  • Monitor feedback to improve service levels.
  • Resolve booking-related issues promptly and professionally.
  • Ensure communications align with the school’s standards and brand guidelines.
Educational and skill requirements
  • Experience in sales, reservations, or customer service (preferably in education or hospitality).
  • Strong organizational and administrative skills with attention to detail.
  • Excellent English communication skills (written and verbal).
  • Proficiency in MS Office and CRM/reservation systems.
  • Ability to multitask, prioritize, and work under pressure.
  • Professional and customer-focused attitude.


Desirable Qualifications:

  • Fluency in additional languages (e.g., Spanish, Italian, or French).
  • Experience in an international environment.
  • Knowledge of the language travel industry.
  • Familiarity with Malta’s tourism and accommodation sectors.
