Role Overview
Heroix is collaborating with the Client to recruit a Shipping & Customs Coordinator who will support the accurate and timely handling of import and export formalities. The position involves preparing regulatory paperwork, maintaining up-to-date shipment information and working with relevant stakeholders to facilitate the movement of goods in accordance with applicable customs rules.
- Import and Export Administration: Compile, review and process the paperwork required for goods entering or leaving the country.
- Customs System Management: Record shipment and declaration details accurately within the relevant clearance platforms.
- Regulatory Adherence: Verify that each submission meets current customs legislation and established procedural requirements.
- Document Follow-Up: Oversee outstanding clearance paperwork and take the necessary action to keep each consignment progressing.
- Internal Coordination: Communicate with colleagues across the Business and provide clear information regarding the position of pending files.
- Authority Liaison: Engage professionally with customs officials to support declarations, respond to queries and obtain required information.
- Records Administration: Retain complete, well-structured files that allow customs documentation to be retrieved efficiently.
- Issue Resolution: Investigate discrepancies or administrative obstacles and contribute to their prompt resolution.
- Operational Reporting: Produce summaries of clearance-related work whenever required by management.
- Shipment Register: Keep the relevant consignment tracking records accurate, complete and current.
- Team Assistance: Undertake general administrative duties that enable the customs function to operate effectively.
Qualifications, Skills and Attributes
- Customs Knowledge: A sound working understanding of customs formalities and the documentation associated with international shipments is essential.
- Experience: Previous involvement in customs administration, freight, logistics, shipping or a comparable operational setting would be highly beneficial.
- Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
- Communication Skills: Capable of exchanging information clearly and professionally with colleagues, external authorities and other relevant parties.
- Interpersonal Skills: A cooperative approach and the ability to establish productive working relationships across different functions.
- Technical Skills: Confident user of Microsoft Office applications, with particularly strong competence in Excel and the ability to work effectively with customs-related software.
- Attention to Detail: A precise and methodical approach to entering information, checking documents and maintaining dependable records.
- Organisation: Able to coordinate several consignments simultaneously while keeping files orderly and responsibilities under control.
- Time Management: Skilled at determining priorities, meeting demanding timeframes and delivering accurate work in a busy environment.
