Assistant Manager Parts, Warranty & Service Reception

The employee is responsible for service reception, parts and warranty processes in their totality.

Main tasks and responsibilities
  • To make sure that all calls are being answered, and any queries are being dealt within a reasonable timeframe
  • To assist reception area as needed.
  • To make sure that the reception area is adequately clean and organised.
  • To make sure that the stores are properly maintained.
  • To assist in inspecting spare parts upon arrival, unpacking them and store them in the proper designated areas within the parts department as needed.
  • To make sure the stock inventory is updated and ensure an adequate stock of parts as well as oversee the re-ordering process.
  • To assist colleagues and workshop manager when and as required in any duties related to the parts department.
  • To authorise / decline any required overtime after discussing with workshop manager.
  • To approve and leave requested by the parts, service advisors and warranty personnel.
  • To oversee the warranty team and follow religiously the warranty protocols for all brands represented by Industrial Motors.
  • To make sure that all employees falling under your remit comply with the respective opening and closing times and follow the attendance protocol.
  • To oversee the leave allocation process of all employees falling within your remit and immediately report any incongruencies.
  • To plan and oversee any training requirement for all employees falling within your remit.
  • To monitor, align and report where required any deviances from pre-set monthly parts and counter sales target, warranty reporting / timely claim submissions and pre-approvals.
  • To monitor and align where necessary any open wips. 
  • To come up with sales and upselling strategies in collaboration with the workshop assistant manager.
  • To perform stock spot checks on a quarterly basis and report the respective findings to the workshop manager and general manager.
  • To produce monthly stock reports in order to monitor and take the necessary action in connection with fully provided stock.
  • To work closely with the workshop assistant manager to ensure that the link between the service and parts advisors, warranty administrators and the workshop itself is clear and constant.
  • To strictly adhere to Health and Safety regulations and Company Policies.
  • To ensure that Protective Clothing and Equipment provided by the Company are always used and worn.
  • To attend training organized by the Company as required.
  • To carry out any additional duties assigned by the aftersales Manager.
Educational and skill requirements
  • A’ Level standard of education
  • Computer Literate
  • Previous experience in a similar post or similar
  • Good Communication Skills
