HR & Administration Executive

You will join a Malta-based group operating across business aviation and luxury tourism.

The aviation side provides boutique private jet charter and aircraft management services, including operations under a Maltese AOC and an international presence.

The tourism side delivers high-end, bespoke travel and lifestyle arrangements for discerning clients, supported by private aviation solutions.

This is a hands-on HR and office operations role supporting a mid-size, multi-entity environment. You will manage core HR administration across the employee lifecycle while also ensuring smooth day-to-day office management.

Responsibilities

HR:

  • Manage end-to-end HR administration - employee records, contracts, letters, and HR documentation
  • Coordinate recruitment logistics - job postings, screening coordination, interview scheduling, reference checks
  • Own onboarding and offboarding processes - documentation, inductions, checklists, handovers
  • Support payroll inputs and monthly HR reporting (leave, attendance, contract changes, allowances)
  • Maintain HR policies and procedures and support compliance with Maltese employment requirements
  • Handle employee queries with a service mindset and maintain confidentiality at all times
  • Support performance review cycles, training coordination, and basic HR initiatives
  • Liaise with external providers as needed (health insurance, advisors, suppliers)


Office Management:

  • Oversee office operations - supplies, vendors, facilities, maintenance requests, office equipment
  • Coordinate meeting rooms, visitor reception, couriers, and general office administration
  • Support internal events and employee engagement activities
  • Ensure a well-organized, professional office environment aligned with a premium client-facing business


Requirements:

  • Minimum 3 years of experience in a similar role
  • Background in aviation or tourism sector(s) is considered an advantage
  • Strong people skills - approachable, tactful, and confident in communication
  • Agile, dynamic, and comfortable handling shifting priorities in a fast-paced environment
  • Solid knowledge of standard HR processes and strong attention to detail
  • High integrity and discretion when dealing with sensitive information
  • Strong English with great communication skills
