Role Overview
The Human Resources Manager will take ownership of the Company’s HR operations, supporting the business across the full employee lifecycle while ensuring compliance with Maltese employment legislation and internal procedures. This role requires a hands-on and organised professional capable of managing payroll, employee relations, recruitment, administration, and staff engagement initiatives within a dynamic operational environment. The successful candidate will act as a key point of contact for employees and management, contributing to a positive workplace culture while ensuring efficient and compliant HR processes throughout the organisation.
Key Responsibilities
- Employee Lifecycle Management: Manage the full employee lifecycle, including recruitment, onboarding, probation management, employee contracts, performance support, and offboarding procedures.
- Payroll Administration: Process and manage payroll accurately through the Company’s online payroll system while maintaining payroll records and ensuring all employee updates and supporting documentation remain accurate and up to date.
- Employee Records and Administration: Maintain employee files, attendance records, leave management, sick leave documentation, and general HR administration in line with company policies and legal requirements.
- Recruitment and Onboarding: Support recruitment activities, including drafting and posting job advertisements, CV screening, interview coordination, candidate communication, onboarding processes, and work permit administration.
- Employment Law and Compliance: Ensure compliance with Maltese employment legislation, internal policies, health and safety requirements, and HR best practices while preparing employment contracts, disciplinary documentation, policy updates, and employee correspondence.
- Employee Relations and Support: Act as the primary point of contact for employee HR-related queries, providing day-to-day guidance and support while assisting with employee wellbeing and engagement initiatives.
- Performance Management: Support probation reviews, employee development initiatives, performance management processes, and internal staff communication activities.
- Work Permit Administration: Manage TCN, single permit, and work permit applications while coordinating related documentation and compliance procedures.
- Events and Staff Activities: Organise company events, staff initiatives, corporate activities, staff acknowledgements, and uniform administration.
- Reporting and Operational Support: Prepare HR reports, payroll summaries, headcount reports, and management information while also handling employee contraventions, traffic-related administration, and petition submissions where required.
Qualifications, Skills, and Attributes
- Experience: Previous experience within HR operations, payroll administration, employee relations, and HR compliance.
- Language Skills: Fluency in both Maltese and English is essential.
- Employment Law Knowledge: Strong understanding of Maltese Employment Law and HR administrative procedures.
- Communication Skills: Excellent written and verbal communication skills with the ability to engage effectively across all organisational levels.
- Organisation: Strong administrative and organisational abilities with excellent attention to detail and the capability to manage multiple priorities simultaneously.
- Interpersonal Skills: Professional, approachable, and capable of building strong working relationships with employees and management.
- Problem-Solving: Able to manage sensitive situations with discretion while identifying practical and effective HR solutions.
- Technical Skills: Comfortable using payroll systems, HR administration tools, and Microsoft Office applications.
- Self-Motivated: Proactive, reliable, and capable of working independently within a fast-paced operational environment.
