About the Function
Technology is at the core of the knowledge-based organisation. It enables MFSA's strategic and operational objectives to be achieved efficiently and effectively. The Technology team leverages cutting-edge technology, industry standards, and methodologies to provide reliable services to the rest of the organisation and the financial services sectors interacting with the Authority electronically. It is responsible for technology design, information security, development, integration and delivery of all information and communications infrastructure, platforms, and services, working with technology vendors and partners. The Technology team is made up of professionals specialised in relevant areas that include governance and planning, infrastructure and service management, information systems, and security. Officials from Technology also participate and give their contribution in several European committees, expert groups, and industry fora.
About the Role
As a Junior IT Planning Officer, you will support the day-to-day operations of the IT Planning team and contribute to the effective administration, coordination, and governance of Technology related activities. Your responsibilities will include, but are not limited to, the following:
- Coordinating technology procurement and contract administration activities, including purchase requisitions, budget monitoring, contract and licence renewals, invoice processing, reconciliations, and liaison with suppliers and internal stakeholders such as procurement and finance;
- Coordinating the delivery, receipt, and distribution of technology equipment in collaboration with the relevant technology teams and suppliers;
- Assisting in the disposal of technology equipment in accordance with established procedures and under the guidance of senior team members;
- Maintaining the NSO Intrastat system by updating invoice-related information provided by the Finance team;
- Maintaining IT planning records, management information, correspondence, and documentation, ensuring that information is accurate, up to date, and processed in a timely manner;
- Monitoring stationery and consumable stock levels within the technology function, coordinating replenishment activities, and managing related deliveries;
- Managing hardware repair requests raised, including liaison with suppliers and the processing of insurance claims;
- Maintaining and updating the technology travel plan and calendar, ensuring information is accurate and current;
- Providing administrative and operational support to technology projects and initiatives, as required;
- Undertake any other duties as assigned by the Head and/or as may be required by the MFSA from time to time based on the exigencies of the Authority.
About You
We are seeking candidates with a keen interest in technology planning, procurement, contract administration, and organisational coordination.
The role calls for an academic qualification in Information Technology, Information Systems, Computer Science, Business Information Systems, Business Administration or a relevant field at National Qualification Framework Level 6 or better, duly certified by the Malta Qualifications Recognition Information Centre (MQRIC) or a widely recognised professional qualification at a comparable level.
If you do not have the necessary academic or professional qualifications but you have at least five (5) years of relevant experience, we would still be interested in speaking with you.
Skills and competencies:
- Strong attention to detail and comfortable working with numerical data;
- Able to follow procedures and instructions diligently;
- Effective team player with good interpersonal skills;
- Willingness to learn and develop professionally;
- Knowledge of public procurement regulations and procedures will be considered an asset.
