Sales Back Office

Role:

We are looking for a Sales Back Office team member to support our sales department with day-to-day administrative, organisational, and customer-related activities. The successful candidate will play an important role in ensuring that sales processes run smoothly and that customers receive timely and professional service.

Responsibilities:

• Provide administrative support to the sales team.
• Prepare and follow up on quotations, orders, invoices, and related documentation.
• Process customer orders and ensure information is accurately recorded.
• Communicate with customers regarding orders, deliveries, quotations, and general enquiries.
• Coordinate with the sales team, warehouse, logistics, and other departments.
• Follow up on pending quotations and customer requests.
• Maintain accurate customer and sales records.
• Assist with preparing sales reports and monitoring outstanding orders.
• Handle emails and telephone enquiries in a professional manner.
• Ensure that customer information and sales documentation are kept up to date.
• Assist the sales team with any other administrative and coordination tasks.

Requirements:

• Previous experience in a sales administration, back-office, customer service, or similar role is an advantage.
• Strong organisational and time-management skills.
• Excellent attention to detail and accuracy.
• Good communication and interpersonal skills.
• Good knowledge of Microsoft Office, particularly Excel and Outlook.
• Ability to work independently as well as part of a team.
• Ability to manage multiple tasks and meet deadlines.
• Professional and customer-focused attitude.
• Good command of English; knowledge of Maltese or other languages is considered an advantage.
