Administrative Assistant
CE Group is forward looking group involved in construction, real estate, home for the elderly, catering and childcare centres, with its head office situated in Mosta. The Group needs to hire an Administrative Assistant, to assist the PA to the Directors with a wide range of administrative tasks as may be required.
Objectives of the role:
In his/her role of assisting the PA to the Directors, the person must necessarily be one of the main points of contact for all correspondence, calls, and adept at managing calendars, drafting of letters, making travel arrangements, organising files, conducting research, take initiative and be driven, and very importantly maintaining confidentiality in business affairs.
Main tasks and responsibilities
- Candidates must be well educated, with an advanced Diploma in Administrative and Secretarial Studies or in a similar field.
- Previous experience in a similar position would be considered an asset.
- An excellent command of spoken and written (of both) English and Maltese.
- Demonstrated ability to proactively support senior executives with their day-to-day operations including an ability to anticipate their needs.
- Ability to handle sensitive information with discretion and confidentiality.
- Highly proficient use of Microsoft Office programs (MS Office, Word, Excel, and PowerPoint).
- The ability to communicate professionally and confidently with all stakeholders involved, including clients.
- Comfortable working in a fast-paced and busy environment.
- Proactive, self-confident and an appropriate sense of urgency, excellent organisational skills and a great attitude.
- Ability to anticipate needs of leadership and take pride in thinking one step ahead.
- Flexibility and reliability, and ability to meet deadlines.
- Attention to detail and accuracy.
- Pleasant personality
- Clean police conduct certificate (must be presented).
