HR Executive


Reports to:
Head of HR

Main Purpose of Job:

The HR Executive is mainly responsible for assisting with all primary functions of the human resources department and acting as a point of contact for employee queries.

Individual Key Objectives:

  • Assisting with employee onboarding, conducting company specific inductions, and ensuring documentation is collected.
  • Conducting interviews and preparing offers in line with company structures.
  • Preparing periodic management reports and keeping records updated.
  • Assisting with the work permit process by compiling the required documents and submitting accordingly.
  • Conducting exit interviews in order to identify shortcomings and suggest recommendations for improvements.
  • Identifying potential sources of employees for both subcontracted and direct placements.
  • Assisting with NSO reports when required.
  • Acting as a point of contact for employees regarding payroll queries and confirm any discrepancies.
  • Assisting in the implementation of the group’s performance management system.
  • Drafting documents as required.
  • Coordinating employee training, ensuring legal requirements are met as well as identifying areas of potential improvement.
  • Assisting with company events.
  • Informing payroll of new employees and forwarding information regarding any changes.
  • Take responsibility for any other duties commensurate with the level of this post as may be requested.

  • Role will be based at Head Office and would involve travelling to meet staff on site.

Personal Characteristics, Skills & Experience:

  • Ability to effectively communicate, verbally and in writing in Maltese and English.
  • Ability to work effectively in a team, including the ability to respond to the needs of team members and provide them with assistance as and when required.
  • To be able to work under pressure and with minimal supervision.
  • To be open and honest at all times.
  • Ability to maintain confidentiality and to work with third parties.
  • To have a flexible approach to work commitments at all times.
  • To be prepared to multitask and keep organised.
  • Good working knowledge of computers and conversant with computer applications.
  • Extensive knowledge of employment laws and practices.

Financial Limits of Authority:

  • Set as per purchasing authority document released by the Finance Department.

Financial Responsibilities:

  • To promote best practices and ensure that best quality is attained at all times, meeting the company financial targets.

  • Company and its employees are subject to a range of legislation, regulations and requirements in relation to Health and Safety,
  • Employment Laws, Data Protection Act and quality of work
  • Company and its employees must seek at all times to fulfil all responsibilities under Local Legislation

  • Some of which may require the employee to attend residential courses
