Role Overview
Heroix is partnering with a leading organisation in the international education sector to recruit an Italy Payroll Specialist for its Malta-based operation. The role will focus primarily on Italian payroll activities, supporting the accurate and timely payment of employees while ensuring adherence to Italian employment legislation, taxation requirements, and social security obligations.
The successful candidate must be fluent in Italian and will work closely with employees, internal departments, and external payroll providers. This is an excellent opportunity to gain international exposure while developing specialist expertise in Italian payroll.
Key Responsibilities

Italian Payroll Processing: Coordinate the accurate and timely completion of Italian payroll cycles, ensuring all information is correctly recorded and processed.

Payroll Administration: Manage employee payroll changes, including new starters, leavers, salary amendments, bonuses, allowances, benefits, absences, and statutory payments.

Regulatory Compliance: Support compliance with Italian payroll legislation, tax requirements, social security contributions, collective labour agreements, and internal policies.

External Provider Coordination: Work closely with payroll consultants and other third-party providers in Italy, supplying the required information and reviewing payroll outputs before approval.

Employee Support: Respond professionally to payroll-related enquiries from Italian-speaking employees and provide clear guidance on payslips, deductions, payments, and other payroll matters.

Payroll Review: Check payroll calculations, employee records, and supporting documentation to identify and resolve discrepancies before payments are finalised.

Payroll Accounting: Prepare reconciliations, reports, and journal entries, ensuring that payroll information is accurately reflected within the relevant financial systems.

Reporting and Documentation: Maintain complete payroll records and assist with statutory reports, internal reviews, audits, and requests for payroll information.

Process Development: Recommend improvements to payroll procedures and contribute to system implementations, internal projects, and broader payroll initiatives.
Qualifications, Skills and Attributes

Education: Bachelor’s degree in Business Administration, Finance, Human Resources, Accounting, or a related discipline.

Experience: One to two years of experience in payroll, human resources administration, or accounting. Previous involvement in Italian payroll would be highly advantageous.

Italian Language: Fluency in spoken and written Italian is essential, as the position involves regular communication with Italian employees and service providers.

English Language: A strong command of English is required for communication with colleagues and stakeholders across the wider organisation.

Italian Payroll Knowledge: Familiarity with Italian payroll practices, employment requirements, taxation, social security contributions, and collective labour agreements would be considered a strong asset.

Communication Skills: Confident and professional when communicating with employees, managers, advisers, and external payroll partners.

Technical Skills: Proficient in Microsoft Office, particularly Excel. Experience using payroll software, human resources systems, or financial platforms would be beneficial.

Attention to Detail: Able to review complex payroll information carefully and maintain a consistently high level of accuracy.
