Heroix is collaborating with a well-established organisation in the maritime services sector that provides specialist support for the registration of vessels under the Malta flag. Our Client works with a diverse international customer base and supports the registration of yachts, passenger vessels and commercial ships through an experienced professional team.
Role Overview
We are seeking a Shipping Administrator to join our Client’s maritime services team. This position combines general office administration with hands-on support relating to seafarer documentation and crewing matters, making it a suitable opportunity for an organised individual looking to develop a career within the shipping sector.
Key Responsibilities
- Department Administration: Carry out a range of clerical and administrative tasks to support the efficient running of the maritime services department.
- Crew Documentation: Assist with checking submissions relating to crew members, ensuring that the required supporting records, certificates and information are in place.
- Maritime Documentation: Support the processing of documentation associated with seafarers, including requests relating to STCW endorsements and seafarers’ books.
- Authority and Client Coordination: Communicate with Transport Malta, clients and crewing agencies regarding applications, documentation requirements and outstanding matters, following up as necessary to keep processes moving.
- Billing and Payments: Prepare invoices connected with relevant services and follow up on outstanding payments when required.
Qualifications, Skills and Attributes
- Education: An A-Level standard of education or equivalent is required.
- Experience: Previous exposure to office administration, secretarial duties or a similar support position would be advantageous, although candidates with the right aptitude and willingness to learn will also be considered.
- Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
- Communication Skills: Strong written and verbal communication skills, with the confidence to communicate professionally with clients, authorities, agencies and colleagues.
- Interpersonal Skills: A cooperative approach and the ability to contribute positively within a team-oriented working environment.
- Technical Skills: Good working knowledge of Microsoft Word, Excel and Outlook, together with confidence in handling electronic records and routine office documentation.
- Organisation: Strong attention to detail and the ability to manage documentation, priorities and follow-ups in an orderly and dependable manner.
- Self-Motivated: A proactive attitude, willingness to learn and genuine interest in developing knowledge within the maritime services field.
- Problem-Solving: Ability to remain composed when workloads increase, identify outstanding requirements and take practical steps to help resolve day-to-day administrative matters.
