Role Overview
The Customs Clearance Administrator will support the efficient movement of inbound and outbound goods by coordinating clearance formalities and maintaining accurate records. This position involves working closely with customers, colleagues and relevant parties to ensure that each consignment progresses without unnecessary delays.
Key Responsibilities
- Customs Entries: Compile and submit the information required to complete clearance procedures for incoming and outgoing consignments.
- Document Verification: Examine shipping records for accuracy, completeness and compliance before entries are processed.
- Customer Coordination: Contact customers to obtain missing information and supporting paperwork within the required timeframes.
- Query Management: Respond to enquiries concerning clearance requirements, consignment status and the next stages of the delivery process.
- Shipment Follow-Up: Monitor active cases and assist in resolving administrative matters that could affect the timely release of goods.
- Team Collaboration: Work closely with colleagues across the operation to maintain an organised workflow and dependable customer service.
Qualifications, Skills and Attributes
- Education: A sound general educational background is required. An ECDL qualification, or equivalent evidence of digital competence, would be advantageous.
- Experience: Previous exposure to shipping, freight, customs administration or a related environment is required.
- Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
- Communication Skills: Able to exchange information clearly and professionally with customers, colleagues and other relevant parties.
- Interpersonal Skills: A cooperative individual who contributes positively to the team and supports colleagues when needed.
- Technical Skills: Confident in using computers and standard office applications, with the ability to learn sector-specific systems.
- Organisation: Capable of managing several files, documents and deadlines while maintaining close attention to detail.
- Self-Motivated: Takes ownership of assigned duties and follows tasks through with minimal supervision.
- Problem-Solving: Able to identify missing or inconsistent information and take appropriate action to help prevent avoidable delays.
